Institutional Advancement Database Entry Specialist
The SETI Institute requires a conscientious and flexible individual to assist with the Institute’s donor management database. Under the direction of the Annual Fund Manager, the Institutional Advancement Database Entry Specialist’s primary responsibilities are gift processing and maintaining donor records in the Institute’s fundraising database. The successful candidate must be able to pay extreme attention to detail and catch errors before they become issues. Assisting Institutional Advancement staff with other department projects such as event planning and implementation is expected.
Education/Requirements
Bachelor’s Degree in related field or high school diploma and minimum of equivalent 2 years experience in database entry
Qualifications/ Required skills
Must have demonstrated knowledge of databases and standard office software such as Microsoft Word and Excel. The candidate must have the ability to take initiative, work independently, and be a dependable team player, with the ability to meet deadlines and manage competing demands.
Responsibilities:
- Assists with timely and accurate gift and membership processing, including (but not limited to) generating donor acknowledgment letters and membership packages, and ensuring that these materials are signed, copied, and mailed in a timely manner
- Data entry into existing donor records and creation of new records consistent with department policies and procedures
- Maintenance of “hard copy” information files
- Assistance with gathering and compiling membership and other Institutional Advancement statistics
- Courteous and effective communication with members and potential donors via telephone, email, or regular mail
- Indexing and data entry into departmental databases
- Maintenance, updating, and distribution of departmental policies and procedures documents
- Planning assistance and participation in special events
- Other duties as assigned
Preferred skills
Experience in the non-profit sector strongly preferred. Fundraising experience or applicable education; knowledge of fundraising software; knowledge of Raiser's Edge. Understanding of and interest in science research.
Special Requirements
Part-time position; flexible hours. Some evening and weekend commitments may be required.
